Automation Mistakes Are Usually Configuration Mistakes
Almost every automation problem I have diagnosed in a GoHighLevel account comes down to a configuration error — a missing condition, a wrong trigger, or a sequence that runs when it should not. Here are the most common ones.
Sending Messages at the Wrong Time
An automated message sent at 2am because a workflow does not have time restrictions will annoy leads and damage trust. Always set time restrictions on your outbound messages. 8am to 8pm local time is a reasonable range for most businesses.
No Exit Conditions
A lead who books an appointment should not continue receiving "would you like to book?" messages. Every workflow needs clear exit conditions: stop when they reply, stop when they book, stop when a tag is added. Without exits, workflows run indefinitely.
Workflows Triggering on Duplicate Events
If a lead fills in two forms, or is added to a workflow manually and also via a trigger, they may receive duplicate messages. Use conditions to check whether a workflow has already run for a contact.
Untested Workflows
This is the most common mistake. Build a workflow, publish it, and never test it. Then find out 3 weeks later that a typo in the message has been going to every lead. Test every workflow before publishing.
Messages That Sound Like They Came From a Robot
Automation that uses formal language, long paragraphs, and zero personalisation will get ignored or marked as spam. Write your automated messages like a real person talking to another real person.
